JOB TITLE: Administrative Supervisor
LOCATION:Panamá, Ciudad de Panamá
TYPE: Full-time - On-site
SCHEDULE: Monday to Friday - 8:00 a.m. to 5:00 p.m.
SALARY RATE: $2,500 - $3,000 monthly
DESCRIPTION: As the Administrative Supervisor, you will oversee office operations, coordinating activities and vendors to ensure operational efficiency. Providing support to operational leadership, you'll manage administrative tasks, uphold policy compliance, and foster a positive work environment.
  • Bachelor's degree in Organizational Psychology, Industrial Psychology, Administration, or related fields.
  • Minimum 3-4 years of experience in the field.
  • Bilingual with fluency in both Spanish and English (written and verbal).
  • Proactive and adaptable.
  • Ability to manage interpersonal relationships and effective communication.
  • Team management skills.
  • Ability to work under pressure.
  • Dynamic and capable of managing change.
  • Work with a comprehensive and strategic vision.
  • Advanced computer skills in MS Office, HR systems, and tools.
  • Experience working in regional organizations, managing different geographic points with multiple countries.
  • Supervise daily office operations and procedures.
  • Provide support to Executives and Managers as needed.
  • Manage office logistics for guests/providers, clients, and employees.
  • Assist the HR manager in creating and implementing operational policies and procedures.
  • Manage communication with building management office and owner.
  • Prepare management reports related to office administration and facilities maintenance, overseeing improvements when necessary.
  • Establish internal communication channels between staff and management.
  • Manage office supplies, equipment, and infrastructure; Coordinate repair and maintenance with IT and external vendors.
  • Under the guidance of the Financial Controller, prepare reports and manage general expenses budget, ensuring proper records and billing.
  • Under the guidance of the Financial Controller, negotiate contracts and prices with office suppliers, service providers, and office leasing, among others.
  • Assist in the preparation of the annual budget, expense scheduling, variance analysis, and initiate corrective actions.
  • Manage corporate events.
  • Ensure compliance with company policies and office operations.
  • Manage team needs and provide support services to all areas of the organization.
  • Collaborate with departments within the company to ensure efficient workflow.
  • Manage and administer inventories and procurement of materials.
  • Supervise facility services; maintain facilities.
